What are the Benefits of Project Categorization?
- Organize Projects so that users can easily discover and find them when many exist.
- Project categories and tags are not pre-defined but explicitly created for the organization.
- Project Categorization makes it easy to group Projects based on a specific value stream or testing area.
When Should Project Categorization be Used?
- This feature is perfect for Enterprise-level Organizations with many Projects, Users, and Value Streams.
- Any time an Organization has a significant number of Projects and wants to make it easier for users to find them.
When Should Project Categorization not be Used?
- Any time an Organization has a small number of Projects where they can be easily discovered by name.
- Note: It is recommended to consider setting up this feature if the number of Projects is expected to grow significantly.
How to Access Project Categorization
- Expand the Management Menu in the Menu Bar and select Project Categorization.
How are Projects Categorized?
Projects are categorized by Business Units, Categories, and Tags. These are described in further detail below:
Item | Description |
Business Unit | An organizational structure, such as a department or team that produces revenues and is responsible for costs (e.g., Bank). This is the highest categorization level. An organization can create as many Business Units as needed. |
Category | A group of Projects with similar characteristics (e.g., Credit Card, Checking, Savings). There is no limit on the number of Categories that can be created within a Business Unit. |
Tag | A keyword that further defines a Category and helps users identify related Projects within an organization (e.g., New Accounts, Payments Received). This is the lowest categorization level. A Category can have up to five Tags. |
These items are categorized within the Project Categorization Dashboard, as shown below:
Who can add Business Units, Categories, and Tags?
- Only an Org Admin can add and manage these items.
Who can assign Categories and Tags to Projects?
- Org Admin or the Project Creator
What happens when Business Units, Categories, and Tags are removed?
Removing Business Units, Categories, and Tags will have the following impacts depending on what is removed:
Item | Description |
Business Unit | All Categories and Tags within the Business Unit will be removed and no longer assigned to Projects. |
Category | The Category and its Tags will be removed and no longer assigned to Projects. |
Tag | Assigned to Projects - Cannot be removed from the Category. Not assigned to Projects - Can be deleted from the Category. |
How does Project Categorization work?
An Org Admin creates a global list of Business Units, Categories, and Tags that users can use to categorize and label their Projects. These steps are outlined below:
- Step 1 - Add Business Units, Categories, and Tags
- Step 2 - Assign Categories and Tags to Projects
- Step 3 - Users Discover Projects by Business Unit, Category, and Tags
Step 1 - Add Business Units, Categories, and Tags
Org Admins can create Business Units, Categories, and Tags in the GenRocket web platform.
IMPORTANT: Before creating these items, we highly recommend Org Admins take time to plan and consider how this feature can be used within their organization.
Step 2 - Assign Categories and Tags to Projects
An Org Admin or the Project Creator must assign Categories and Tags to a Project before users can discover it. Categories and Tags can only be assigned to Projects after they have been created.
To do so, click on the Project Categorization icon for the Project within the Project Dashboard.
Users then select a Business Unit and one or more Category Tags for the Project.
Step 3 - Users Discover Projects by Business Unit, Category, and Tags
Users can discover Projects based on Business Units, Categories, and Tags by clicking on the Filter Projects icon in the Project Dashboard.
Select a Business Unit and then use the checkboxes to select Tags within one or more Categories. Once finished, click on the Search button to discover Projects.
